Document Delivery (Photocopy Request)

You may request photocopies of journal aritcles or other library items that are not available at your home library. You may request them from other Keio University libraries, or universities or institutions outside Keio.

Who Can Order Photocopies

  • For Requesting from Other Keio University Libraries:
    Faculty; staff; full time degree students; correspondence course students who attend the year-round course or night schooling; correspondence course students who are permitted to work on their graduation theses *All must be affiliated with Keio University
  • For Requesting from Outside Keio:
    Faculty; staff; full time degree students; correspondence course students who attend the year-round course; correspondence course students who are permitted to work on their graduation theses *All must be affiliated with Keio University

*Alumni of the Graduate Schools of Medicine/Health Management and the members of Sanshikai/Kobaikai are also eligible for the service. Click here for more details.

How to Place a Request and Pick Up

  1. Search KOSMOS
    Make sure that the item you need is NOT held by the library you plan to pick up your order at. We do not accept your order if the item is available at the pickup library.
    (*This rule is not applied if the pickup library is Shinanomachi)
  2. Place a Request
    You may place a request in person at the library counter, or via online form. If you request more than an item, you are required to place requests separately.
  3. Receive a Delivery Notice
    As soon as your order becomes ready to pick up, we will send you a delivery notice to the email address you have specified. For a full time degree student, the message will be sent to his/her keio.jp email address.
  4. Pick Up and Make Payment
    Please pick up your order as soon as possible after receiving the email. Payment details are included in your delivery notice.

Important Notices

  • Media Center chooses the library to submit your request concerning situations; you cannnot specify the providing library at your option.
  • You cannot choose the paper size and the method of reproduction. You cannot ask for stapling either.
  • The service is carried out under the the Copyright Act. The patron must bear full responsibility conforming to the laws involved in photocopying.
  • Once your request becomes processed, we do not accept any cancellation or change.
  • A large amount of requests is subject to rejection or cancellation.

Interlibrary Loans, Reservation

You may place a hold on items on loan. You may also request books from other Keio University libraries or universities/institutions outside Keio, either in Japan or overseas. For journals, please request photocopies instead; journals are not for loan. *It is possible to request journals from the Yamanaka Book Depository though.
The items requested are subject to the lending library's policies. Photocopying may be prohibited or restricted according to the condition of the items.

  • Items for in-library use: reference books, audiovisual materials (including some CD-ROMs), journals, periodicals such as yearbooks and white papers
    (*Any items in Yamanaka Book Depository may be requested and delivered to Keio University libraries regardless of its availability for loan.)
  • Any item currently "in place" at the pickup library; you are required to fetch it by yourself.
  • The very same item you are borrowing
  • (For Undergraduate and correspondence course students) Kyoseikan Library collections *Undergraduate or correspondence course students have to visit Kyoseikan Library in order to use the collections. The items are in-library use only. The students must apply in advance to the Hiyoshi Media Center for access. Please refer to the website of Kyoseikan Library as well.
  • There are another items not available for request. Here is the table that shows you call number groups and their availability for request. If you need any help interpreting the table in Japanese, please feel free to talk to a librarian.
Delivery Notice, Pickup Location, On-Hold Peiord
  • As soon as your request becomes ready to pick up, we will send you a delivery notice to your email address registered with our library system.
  • Pick up your request at the counter of the library you have designated as a pickup location.
  • The item will be on hold for 7 business days. If not picked up within the period, your request would be canceled and returned to the lending library.

How to Place a Request and Pick Up

      Before getting started, make sure that the item you need is NOT held by Keio University libraries. We do not accept your request if the same item is included in Keio University's library collections.
    2. Place a Request
      You may place a request in person at the library counter, or via online form. If you request more than an item, you are required to place requests separately. For a title consisting of more than a volume, make a request for each volume individually. Please note that Items cannot be picked up at Kyoseikan Library. Please designate Hiyoshi as a pickup location instead.
    3. Receive a Delivery Notice
      As soon as your request becomes ready to pick up, we will send you a delivery notice to the email address you have specified. For a full time degree student, the message will be sent to his/her keio.jp email address.
    4. Pick Up and Make Payment
      Please pick up your request as soon as possible after receiving the email. Payment details are included in your delivery notice.

Book Mailing Service

We mail the books held by Keio University Libraries to the shipping address of your choice.

Who Can Use the Service

  • Faculty members
  • Graduate & Undergraduate students
  • Professors emeriti and retirees who have a library card

Fee & Payment Method

-We send the books by cash-on-delivery via Japan Post; you are required to pay the shipping fee when receiving the delivery.
-We will send a confirmation email to let you know the cost.

Books Subject to the Service

  • On-shelf books held by the library you are placing a request to
  • Your requested books that are currently on hold; they are indicated as "On Hold" when you sign into your MyLibrary.

Books NOT Subject to the Service

  • Books that are indicated as "Out of Library," "Not For Loan" or "## Requests" on KOSMOS.
  • Books that could be damaged during delivery
  • Other library materials that are considered to be inadequate for shipping
  • Some of Keio University's library items cannot be mailed according to the holding library's policy. See the table below for more details:

  • If you place 2 or more requests, the books might be sent out separately depending on the situation.
  • In case the parcel is sent back to us for some reason such as absence of the recipient, we will charge you the shipping fee for returning.

Returning Method

You may visit our library to return your loans in person, or send them by post or courier. Note the shipping fee is on you.

Photocopy Mailing Service

We mail the requested photocopies to the shipping address of your choice.
*Photocopies requested from libraries other than your home library; the providing library could be a Keio University library on other campus.

Photocopying Fees

In case you request photocopies of the item held by your home library, the fees below will be applied on or after April 1, 2023.

Black & White: 30 JPY per page

Color: 100 JPY per page

*Note the price is different from that of self-photocopying.

*Media Center will give you an aid for payment, up to 3,000 JPY for each request, until March 31, 2023.

In case you request photocopies from other campus or a library outside Keio University, we will give you a aid for payment; up to 3,000 JPY for each request. If the fee exceeds 3,000 JPY, we kindly ask you to pay the difference.

  • Any book that can be checked out; however the book may be subject to the book mailing service.
  • Any library item whose KOSMOS status is 'On Loan' etc.
  • Electronic resources accessible from off-campus
  • Fragile items that could be damaged during photocopying
  • Items that are provided via National Diet Library's Digitized Contents Transmission Service; you are required to reach out to the NDL in person to have the photocopies sent to you.
